The benefits of holding your AGM virtually can include:

The Regulations:
For any association / charity, it is initially important to consider how your AGM is permitted to run by consulting your governing document. Fitwise are experienced in ensuring our clients adhere to their articles of association, and if not currently permitted, the team are skilled in advising clients on suggested changes which would be of benefit to them and their members.
Voting:
We recommend that all voting for AGM is completed in advance of virtual AGMs. The vote must then be ratified in front of a quorate (as outlined in your governing document).
Who will be seen on the screen?
We recommend that Trustees / Directors / Board are invited to the AGM as presenters, although they may not all present on the day. This gives them the ability to be seen during the AGM, and participate in any Q&A session, like if they were on stage / in the front row and in-person AGM. Questions could be requested in advance or submitted during the AGM.
Quorum:
Fitwise are experienced at monitoring attendance levels to ensure the meeting meets the quorum as outlined in our client’s governing documents, and the meeting doesn’t proceed until this quorate is met.
Recording:
The AGM can be recorded and made available to members who were unable to attend. By recording the AGM, this can also help facilitate transparency, as well as assist with record keeping and logging attendees.

By offering an educational session as part of your AGM, you can also help boost attendance and offer your members an additional benefit of attending.
