Executive Assistant

Contract: Permanent

Hours: Full time (37.5 hours per week, Mon – Fri, 9am – 5pm)

Location: Fitwise Office, Blackburn House, Seafield, West Lothian (mix of home and office working available)

Responsible to: Head of Secretariat Services

Salary: From £28,000 (dependent on experience)

At Fitwise we provide comprehensive management services for associations and membership organisations, predominantly for those operating in the healthcare sector. Our range of services includes secretariat and administration, finance, marketing, sales, and event management.

We have an exciting opportunity for an Executive Assistant to join our team. The post-holder will provide high-level, comprehensive secretarial, administrative, and organisational governance support to Fitwise clients, ensuring seamless and efficient operations.

This role is ideal for a motivated individual who excels in maintaining high standards and has a background as a Personal or Executive Assistant.

This is a hybrid role, and we are happy to accommodate a combination of home and office working (minimum 3 days in the office). All new starts are however expected to be in the office full time for the initial training period.

About you:

Secretariat experience:

  • Educated to a minimum of HNC level in a relevant area, such as business studies, secretarial or IT.
  • Experience working as a Personal Assistant (PA) or Executive Assistant (EA).
  • Proven ability to interact with those working at executive/director level.
  • Experience in delivering high-quality administrative support.
  • Experience in coordinating and managing in-person and virtual meetings.
  • Experience in coordinating and managing webinars.
  • Expertise in producing high-level, formal meeting minutes.
  • Possess at least a basic understanding of associations/societies/membership organisations/charities.
  • Possess at least a basic understanding of memorandum and articles of association, constitutional matters, and governance.

  • Strong interpersonal skills for client interactions and team collaboration.

At Fitwise we specialise in association and educational event management and we have an exciting opportunity for a Finance Assistant to join our team.

Working within a small finance team, this position will provide finance support to a range of clients and events.  The candidate would be responsible for the daily and monthly finance tasks for their clients including daily banking, posting and reconciling purchases and sales ledgers and reconciling external systems to SAGE.

About you:

  • Previous experience in a finance assistant role (2+years)
  • Experience of working with an accounting system e.g. SAGE, Xero or Quickbooks
  • Strong MS Office experience, particularly excel skills
  • Strong written and verbal communication skills
  • A people person with good team working skills
  • Pro-activity to identify and creatively solve problems
  • Qualified to minimum of higher level or equivalent including English and Maths
