Pre-Conference

If there’s one thing we always recommend, it’s reading your pre-conference emails. These emails contain everything you need to know before attending. They include registration times, venue information, parking details, ID requirements, and any pre-registration options. You may also find information about social events, conference apps, and programme updates.

What to Pack
You’ve read your emails. You know where you’re going and when to arrive. Your ID is at the ready. Now comes the next question: what should you bring? We always recommend packing a notepad and pen. Some conferences still provide delegate bags and stationery, but many now use virtual delegate bags to support sustainability goals. Bringing your own supplies means you’ll always be ready to take notes and capture key learning points.
A portable charger is another conference essential. Many events now rely on digital tools such as conference apps, online programmes, and interactive sessions. Keeping your phone charged will help you access these features throughout the day.
It’s also worth thinking about comfort. Conference venues can vary in temperature. Plenary sessions often feel warm when the room is full, while workshops and breakout sessions can feel much cooler. Dressing in layers will help you stay comfortable all day.
The Day Of
Registration
You’ve made it to the venue, hooray!
Your first stop is registration, so have your ID or confirmation email ready when you arrive. This helps our onsite team find your details quickly and keeps the process moving smoothly. For the safety of everyone attending, all Fitwise events require ID.
You may hear the terms delegate and exhibitor during registration. Don’t worry if they’re unfamiliar. A delegate attends the conference sessions, while an exhibitor represents a company in the exhibition area.
If you’re presenting a poster (also known as an abstract), head to the poster desk after registration. The team will check your poster in and explain the next steps. Depending on the event, they’ll either display it for you or show you where it should go.
Sessions
Once you’ve registered, it’s time to start learning. Our biggest piece of advice is to plan your sessions in advance. Many conferences run multiple streams at the same time, so it helps to know which presentations and workshops you want to attend.
Take a look at the programme before the event and build a rough schedule for your day. This allows you to make the most of your time and avoid missing sessions you’re interested in. Don’t worry about finding your way around. We make sure rooms are clearly signposted, and you’ll find programme QR codes throughout the venue.
Exhibition
After your morning sessions, it’s time to explore the exhibition for the first time.
For many delegates, the exhibition is one of the most exciting parts of the conference. It has a unique atmosphere and plenty to see. This is where you’ll find exhibiting companies, poster displays, refreshment break stations, and lunch areas. You may also come across demonstrations, guided tours, or other activities taking place throughout the day.
If you’ve never attended a conference before, the exhibition can feel busy at first. Try not to let that put you off. Exhibitors’ welcome questions and conversations. If you spot a product, service, or technology that interests you, go over and ask about it.
It’s also a great opportunity to network. Make a note of any useful contacts you meet, as those connections could prove valuable long after the conference ends.
Social Events
After a full day of learning, it’s time to relax and enjoy yourself.
Many conferences include social events such as exhibition receptions, buffet dinners, quiz nights, gala dinners, and ceilidhs. These events offer a fantastic opportunity to meet new people and continue conversations from the day. Before you travel, check which social events are available and whether they require separate tickets. You’ll find all the details in your pre-conference emails and on the website. If you’re attending a formal evening event, consider packing an extra outfit. Many delegates enjoy dressing up for gala dinners!
Post-Conference
Complete the Survey
And just like that, the conference is over.
Within seven working days of the event, you’ll receive a post-conference survey by email. This is your chance to tell us what you enjoyed, share constructive feedback, and suggest ideas for future conferences. Your feedback helps us improve our events and create the best possible experience for delegates. Some conferences link survey completion to certificates of attendance and CPD claims. Make sure you submit your survey within the stated timeframe so you don’t miss out.
Follow Up with Contacts
Conferences create excellent networking opportunities. You may meet new people or reconnect with existing contacts. We always recommend following up shortly after the event. A conference can be busy, and it’s easy to forget conversations once you’re back to your normal routine. A quick email or LinkedIn message can help keep the conversation going and strengthen the connections you’ve made.
